Check the evidence, costs and collection arrangements before bidding on damaged, retired or surplus solar panels in India. Keep unresolved items visible and take them back to the seller or auction platform.
Reviewed 5 November 2026 · For buyers, recyclers and procurement teams
Start with the original event. Record the seller, auction platform, event and lot references, official notice URL and the latest corrigendum. Check the current status before paying a deposit, travelling or bidding.
Keep one evidence record for each lot
For every check, record the answer, source or document reference, date, responsible person and any question still open. An advertised fact, an inspection finding and a buyer assumption need separate labels.
Evidence label
How to use it
Auction-declared
The current notice or seller states it. Preserve words such as approximate and record the clause or page.
Inspection-supported
Record who inspected, when, the method and the sample or scope. A sample does not confirm the condition of every panel.
Supplier-quoted
Record the written quotation, included services, route or quantity basis, validity and exclusions.
Buyer assumption
Keep it visibly labelled as a scenario. It does not establish actual quantity, recovery or cost.
Unknown or conflicting
Leave it unresolved until clarified. A missing charge is not a confirmed zero charge.
Use these labels beside individual facts. They do not certify an entire auction or lot.
1. Confirm the event and your eligibility
Match the seller, event and lot IDs across the notice, catalogue, registration screen and any revision. Separate an intermediary listing from the platform actually conducting the auction.
Record inspection, registration, deposit and bidding deadlines separately, with the stated time zone. Check extension and cancellation notices.
Check the bidder documents and receiving requirements for this material. Obtain written clarification if a requirement or eligibility condition is unclear.
2. Establish what is actually included
Identify modules, loose cells, wafers, mounting structures and other equipment separately. Confirm any requirement to buy or lift additional material with the panel lot.
Record the sale unit exactly, such as whole lot, panel or kilogram. Keep advertised quantity, inspected quantity and usable quantity separate.
Record condition, packing, photographs and any testing permitted. Do not derive working-panel yield, material recovery or weight from photographs alone.
3. Record payments and costs without guessing
Record the bid basis, stated taxes, auction fees, payment dates and the clauses that determine each charge. Obtain confirmation for conflicting figures or terms.
For each deposit, record the amount, payment date and whether it is refundable, adjusted against the sale value or subject to other conditions. Reconcile any adjustment against the balance payable.
Obtain written amounts and scope for inspection, packing, loading, transport, unloading and any required handling of rejected material. Check whether a quote already includes another listed charge.
Keep unknown charges visible. A known-cost subtotal is incomplete while material costs remain unresolved. Record potential waiting, storage and rescheduling costs separately with their triggering conditions.
4. Confirm loading and site access in writing
Identify who controls the gate and who can authorise release. Ask the owner or site operator to confirm truck access, loading arrangements, exit clearance and the named site contact.
Confirm equipment and labour responsibility, the collection deadline, permitted working hours, quantity measurement and the process for issuing gate passes.
Ask whether earlier collections faced obstruction or payment demands. List authorised site charges, who may collect them and the invoice or receipt required.
If access is disputed or an unapproved payment is demanded, mark site access unresolved. Pause arrangements and seek written resolution from the owner or authorised operator. Do not insert an assumed local payment into the cost estimate.
5. Confirm the receiving and exception plan
Obtain the receiving business’s written acceptance criteria, destination, quantity basis and contact. Agree how mismatches, rejected material and incomplete collections will be recorded.
Agree responsibility for waiting time, a failed collection or rescheduling. Keep the evidence and the person responsible for resolving each open item.
Resolve material gaps before making a bidding decision. After award, use the dispatch readiness check before sending a truck.

Read the terms for your particular auction
MSTC’s buyer terms illustrate why quantities, payment obligations and collection responsibilities need checking. The applicable catalogue and special conditions for your event take priority where specified. Other platforms can use different terms.
